Overview:
Boundless is a remote-first company, but we’re looking for a full-time, Dublin-based Administrative Assistant to be the cornerstone of our on-site operations in our St Stephen’s Green office on a fixed term 12 month contract. This role will be the key link between our leadership team and our distributed workforce, ensuring the smooth handling of all physical documentation, coordination of in-person signatures, and management of essential office and administrative processes.
We’re looking for a proactive, highly organised individual who thrives on ownership and initiative. This is an ideal role for an early-career professional or someone returning to work who is eager to grow, learn, and make a meaningful impact in a fast-moving company.
Key Responsibilities:
Document Management & Administration
- Prepare and manage documents that require signatures, ensuring accuracy and completeness.
- Coordinate and facilitate the in-person signing of documents by company representatives, ensuring timely completion and accurate tracking.
- Maintain organised archives of both physical and digital documents, including Boundless’ entity management and HR systems.
- Maintain well-organised employment document archives at the office, and ensure digital copies are regularly shared with the relevant teams.
- Manage incoming post and couriers, liaising with internal teams to ensure documents reach the right people promptly.
General Administrative & Office Support
- Oversee ad hoc office administration needs, including supplies, deliveries, and logistics.
- Support event coordination, offsites, and company-wide initiatives (e.g. holiday cards, team gifts, or on-site meetups).
- Identify and implement opportunities to improve administrative systems and workflows.
- Build and maintain strong working relationships with teams across the organisation to ensure smooth coordination of administrative needs.
Qualifications & Skills:
- Ideally 1+ year of experience in an administrative or operational role (internships and part-time roles considered).
- Exceptional organisational skills with strong attention to detail and accuracy.
- Demonstrated ability to work independently and take initiative — comfortable managing tasks from start to finish, creating structure, and improving processes without needing close supervision.
- Proactive and resourceful, with strong problem-solving skills and the confidence to reach out to the right people to move work forward.
- Excellent communication and interpersonal skills, with the ability to coordinate effectively across teams and levels.
- Discretion and professionalism when handling confidential or sensitive information.
- Comfortable being the primary team representative in the Dublin office while supporting a globally distributed team.
Work Environment:
Boundless operates primarily as a remote-first organisation, but this role is fully onsite in our Dublin office (near Stephen’s Green). At times you’ll be the only team member physically present, so we’re looking for someone self-sufficient, resourceful, and confident managing priorities independently.
