Dust is a Sequoia-backed company with an experienced and determined team of optimists (coming from companies like Stripe or OpenAI) that like to focus on users, getting great things done by shipping fast, and doesn’t take itself too seriously while doing so.
Summary
We're scaling and we need someone who can own high-volume coordination and candidate experience while we build out our talent infrastructure.
This isn't a typical "book meetings and send calendar invites" coordinator role. You'll be a strategic partner who builds and optimizes our scheduling operations in Ashby, owns candidate experience touchpoints, and ensures we're moving at the velocity our growth demands. You'll coordinate across US and EU timezones, work directly with talent and hiring teams, and have the scope to shape how Dust thinks about and delivers world-class candidate experience.
This is a 6-month contract (5 days/week, SF-based, 4 days/week onsite) with potential to extend to 12 months based on business needs and performance.

What You'll Do
Core Coordination & Scheduling:
Own high-volume interview scheduling, coordinating 100+ interviews per week across US and EU timezones for both GTM and Engineering roles
Manage complex scheduling scenarios including executive interviews, panel interviews, and last-minute changes
Partner closely with recruiters (Reece and US GTM Recruiter), hiring managers, and interviewers to ensure seamless coordination
Maintain exceptional responsiveness and speed - aim for sub-24 hour time-to-schedule for candidates
Build & Optimize Systems:
Build and optimize Ashby scheduling workflows and automations to maximize efficiency and candidate experience
Develop scheduling functionalities that empower the team to work more efficiently
Leverage AI and automation tools to streamline coordination and reduce manual work
Continuously identify bottlenecks and proactively implement improvements
Own Candidate Experience:
Champion candidate experience from scheduling touchpoints - ensuring fast, clear, and exceptional communication
Create and implement candidate experience projects (e.g., interview prep materials, candidate information packs, process improvements)
Gather candidate feedback and iterate on coordination approach based on insights
Work toward measurable improvements in candidate satisfaction and time-to-hire (~15 days from entry to offer accepted)
Support Hiring Velocity (if bandwidth and interest permit):
Support sourcing efforts for high-volume junior roles (e.g., BDRs)
Conduct initial screens for entry-level positions
Requirements
3+ years of recruiting coordination experience in high-growth tech environments
Deep Ashby ATS expertise - you know the platform inside and out, have built workflows and automations, and can help us optimize our setup
Proven high-volume scheduling experience: You've successfully coordinated 100+ interviews per week with complex multi-timezone constraints (US + EU)
GTM and Engineering recruiting coordination: You understand the nuances of coordinating for both functions, including technical screens, panel interviews, and executive conversations
AI and automation fluency: You actively leverage Ashby functionalities, AI tools, and automation to maximize efficiency - you work smarter, not just harder
Candidate experience track record: You have built tangible projects that measurably improved candidate experience
Proactive and fast-paced: You don't wait to be asked - you anticipate needs, stay ahead of deadlines, and move with urgency. You see problems and fix them without waiting for permission.
Scrappy and adaptable: You thrive in ambiguity and fast-moving environments, can build processes from scratch, and juggle multiple competing priorities without dropping balls
