Job Title: Administrative Coordinator - CEO’s Office

Overview:

We are seeking a highly organized and proactive Administrative Coordinator to provide dedicated support to the CEO and senior leadership team at MarcoPolo Learning. This role will involve managing various administrative tasks, coordinating cross-functional projects, and ensuring smooth communication between the CEO’s office and stakeholders. The ideal candidate will be skilled in managing competing priorities, handling sensitive information, and supporting the leadership team across multiple initiatives. This person must be very organized, adaptable, and able to manage the administrative demands of a fast-paced, global working environment.

Key Responsibilities:

  • Provide comprehensive support to the CEO, draft and prepare correspondence, reports, and presentations for both internal and external communications, helping the CEO represent MarcoPolo Learning effectively.
  • Support the senior leadership team on a variety of projects across departments, coordinating tasks, tracking progress, and ensuring deadlines are met.
  • Prepare project materials, gather relevant data, and follow up on action items to help drive initiatives forward.
  • Serve as the key point of contact between the CEO, senior leadership, and internal/external stakeholders. Ensure smooth communication, aligning priorities and managing critical interactions.
  • Coordinate leadership meetings with key partners, stakeholders, and investors, making sure that all materials and logistics are handled efficiently.
  • Organize and prepare for leadership meetings by gathering necessary documents, setting agendas, and managing meeting logistics.
  • Take detailed meeting notes, track decisions, and follow up on action points to ensure follow-through on strategic initiatives.
  • Handle confidential and sensitive information with the utmost discretion, supporting the leadership in critical decision-making processes.
  • Provide day-to-day office management support, ensuring that operations run smoothly and creating a productive environment for the leadership team.
  • Assist with any ad hoc administrative tasks and special projects as needed to support the fast-paced nature of MarcoPolo Learning.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • At least 3-5 years of proven experience in an administrative support role, ideally working with senior leadership in a dynamic, fast-paced environment.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, with the ability to build strong relationships with internal and external stakeholders.
  • Proficiency in G-Suite, Adobe Acrobat, and presentation tools such as Keynote, with experience managing digital tools for remote collaboration.
  • Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines while delivering high-quality work.
  • Discretion, integrity, and the ability to handle confidential information with care.

This is a full-time position working on a hybrid schedule out of our London office. The salary for this role is set between £30,000 and £35,000, along with stock options. The actual compensation offered will depend on work experience and skill level.
