The job, in a nutshell
We’re hiring a Workplace Experience Manager to own and elevate the full experience of working from Orbital’s London office.
At Orbital, in-person time is intentional. It should drive collaboration, energy, onboarding quality, and alignment with our strategy. This role exists to make that real.
This is a mid-level, individual contributor role. You'll report into our People Director and be based in our London office 5 days per week. You'll combine operational excellence with taste, judgement, and proactive ownership. You'll be the person who notices what others don't, raises the bar without being asked, and ensures our workplace and events reflects the calibre of our team.
What you'll do
Elevate the Workplace Experience
Own how the office feels and functions day to day.
You will:
Assess what’s working and what isn’t, and proactively improve it
Refine layout, flow, rituals, and small details that shift perception
Raise standards without being asked
You’ll play a central role in shaping our new London office and ensuring the space supports how we work.
Deliver events and rituals that matter
Design and execute team events, socials, and in-person moments that people genuinely look forward to and that strengthen collaboration.
You will:
Develop clear concepts and briefs
Manage vendors and budgets confidently
Create simple communication plans to drive attendance and engagement
Design lightweight feedback loops, analyse results, and continuously improve
From monthly All Hands and company off-sites to our bi-annual celebrations, you’ll ensure in-person time supports business outcomes as well as social connection.
Run a flawless operation
The foundations must be solid.
You will own:
The overall standards and day-to-day functioning of the office environment
Vendor relationships, facilities coordination, and office supplies
Organising weekly lunches and keeping snacks stocked
Health & safety essentials
AV and meeting room setup (calls work, screens connect, rooms are ready)
Desk booking software: managing the platform and ensuring it reflects real attendance patterns
Meeting room scheduling and utilisation: preventing friction and resolving booking issues
You’ll proactively monitor how the office operates, spotting and resolving issues before they surface.
Own the first impression
You’ll be the welcoming face of Orbital for visitors, candidates, and new joiners.
Working closely with the People and Talent teams, you will:
Ensure interview days run smoothly, including preparing rooms and coordinating logistics
Coordinate in-office onboarding touchpoints and welcome moments
Reinforce and strengthen our employer brand through every in-person interaction with candidates and new joiners
You’ll ensure someone’s first in-person experience of Orbital reflects our standards.
Communicate clearly and intentionally
Workplace experience doesn’t land by accident and how it’s communicated matters.
You will:
Draft clear, warm internal communications for office initiatives, events, and changes
Consider timing, audience, and follow-up to drive engagement and attendance
Close feedback loops so people see outcomes, not just announcements
You understand that strong communication drives results.
Contribute beyond the office
As part of the wider Back Office ecosystem, you’ll support operational processes where workplace and wider operations intersect.
You will:
Support onboarding and offboarding processes (including granting and revoking access to core systems where appropriate)
Provide operational coordination where additional in-office support is needed
You’ll bring organisation and ownership to these touchpoints as part of a collaborative, evolving Back Office team.
What you might be working on
Our next 6–12 months are a pivotal period for how our workplace evolves. Some of the priorities you’ll help shape and deliver include:
Designing our next London office: Playing a central role in shaping how the space works in practice, from layout flow to collaboration zones, ensuring it supports how we work and the standards we expect.
Increasing voluntary office attendance: Rethinking how we use in-person time so people choose to come in beyond mandatory days, from sharper All Hands to more intentional communal moments.
Elevating our company rituals: Strengthening the structure and quality of recurring and ad hoc team gatherings so they are tightly linked to company strategy and drive real engagement.
Reimagining team events and offsites: Developing considered, well-executed concepts with clear briefs, venue selection, budgets, and communication plans that increase collaboration and reflect the calibre of our team.
Raising the operational bar: Auditing and upgrading the foundations (desk utilisation, lunches, shared spaces, vendor management) so the workplace runs seamlessly without reactive escalation.
And that’s just the start. As we grow, new challenges will emerge - and you’ll be trusted to identify where the workplace can have the greatest impact and act on it!
Requirements
The must-haves
Meaningful and demonstrable experience running offices, events, or workplace environments
A track record of delivering experiences people genuinely valued
High standards, discretion and strong attention to detail
Strong operational reliability: you create systems so basics don’t break
Proactive ownership: you don’t wait for detailed briefs
Confidence managing vendors and budgets
Comfort troubleshooting AV and meeting room technology
Strong written communication skills for internal audiences
Ability to adapt your approach across stakeholders (new joiners → leadership)
Willingness to be in the office 5 days per week
And a few nice-to-haves
Experience in a startup or scale-up environment
Background in hospitality or events
Interest in AI and how technology can improve workplace efficiency

Why this might not be for you
You don’t enjoy day-to-day operational work. This role involves ordering supplies, sorting the kitchen, and dealing with day-to-day logistics. If you're after a purely strategic position, this isn't it.
You prefer to wait for instructions. We need someone who spots what needs doing and gets on with it. If you need a detailed brief for every task, you'll find this role frustrating.
You prefer steady rhythms or high predictability. There will be weeks where an event or a project requires extra effort. We don't expect it constantly, but flexibility matters.
You're not comfortable being in the office most days. This is an in-office role.
Large, established companies are more your speed. We're a growing Series B company. Things change, processes are still being built, and comfort with ambiguity is essential.
Details don't excite you. The gap between a good workplace and a great one lives in the small things. If you're not someone who cares whether each meeting has a room that works for their agenda or an event feels thoughtful, this won't bring out your best work.
Compensation: We offer a competitive starting salary in the range of £50,000-£55,000 depending on experience. We share salary ranges upfront to build trust, reduce bias, and support an inclusive process, even as we continue developing our internal pay structures.
