About PAIR
PAIR is the leading AI adoption platform for enterprise. We help organisations build workforce capability, give leaders visibility into AI adoption, scale the workflows that create value, and prove the return on AI investment. Backed by a seed round from two of Europe's leading early-stage VCs, we're driving real AI adoption for some of the world’s leading companies.
We're a fast-scaling startup, currently 40+ people strong and aiming to double our headcount within the next six months. As we scale across the UK and the US, we're looking for people who want to help even more organisations become AI native in 2026 and beyond.
Working at PAIR will be one of, if not THE, most impactful role of your career. This is a rare chance to work inside a business that's using AI to change how work happens, not just for our customers, but for ourselves. You'll build and experiment in a genuinely AI-first company, where new tools and workflows aren't a side project but how we operate day to day.
This is an incredible opportunity to be the first US operational hire where you will have the opportunity to really shape and drive your career.
About the role
The Business Operations Manager is the operational backbone of our growing US team. You will make sure people have what they need to do their best work, the New York office runs well, local suppliers deliver, and important commercial, people and marketing activity is supported reliably.
The role is a generalist business operations role spanning operations, people and commercial functions. You will manage repeatable processes as the team grows, while staying close to the practical work. You will work daily with the Interim US Lead and coordinate and route specialist customer success, legal, security, tax and accounting work to the relevant functional owners.
Core responsibilities
US people and hiring operations
- Run the people process for new US hires, including coordinating with recruiters and hiring managers, office access, equipment, system access and introductions.
- Maintain clear onboarding and offboarding checklists, ownership and records in partnership with People, Operations and Technology.
- Make sure new joiners are ready to work effectively from day one and resolve access or equipment issues quickly.
Sales and customer procurement support and US vendor management
- Support the US Commercial team with customer procurement, vendor onboarding, due diligence and practical customer meeting logistics.
- Coordinate completion of security, privacy, insurance and company-information requests, drawing on approved materials and escalating specialist questions to the right UK owner.
- Coordinate US suppliers across office, IT, events and other local services. Support vendor selection and onboarding, maintain contracts and renewal dates, and make sure invoices reach the correct approval and payment process. Monitor service quality, costs and issues, escalating material risks or commitments before they become problems.
US event operations
- Own the end-to-end operational delivery of US customer, prospect and partner events. This will include event runbooks, venues and suppliers, attendee logistics, budgets, risks and on-site execution.
- Maintain event plans, budgets and deadlines, and run post-event operational reviews to improve future delivery.
- Office management, finance administration and IT and systems coordination
- Coordinate the practical running of the New York office, including access, supplies, facilities, visitors and workspace-provider relationships. As the team grows, support the planning and operational setup of future US office space.
- Maintain local budgets and spend tracking; coordinate invoices, expenses and payment approvals; support month-end with UK Finance; keep entity, banking and insurance administration organized; and escalate tax, accounting and legal decisions to specialists.
- Act as the main US point of contact for PAIR's IT managed service provider. Coordinate device ordering, setup, replacement and return, working within PAIR's security and asset-management processes. Keep accurate local equipment, access and supplier records.
About you
We are looking for a high ownership, practical, highly organized operator who takes pride in making a team run well. You notice what is missing, take ownership and follow through. You can move between planned work and urgent requests without losing detail, and you communicate clearly with colleagues, suppliers and customers.
Non-negotiables
- Hands-on ownership. You are willing to do the work yourself and improve the process as you go.
- High attention to detail. You keep access, equipment, documents, deadlines and commitments accurate.
- Strong judgement. You know what you can resolve independently and when security, legal, finance or leadership input is needed.
- Clear communication. You provide concise updates, confirm ownership and close loops.
- Comfort with ambiguity. You can create structure in a fast-changing environment without waiting for a perfect brief.
Must-have experience
- Measurable experience in business operations, office operations, workplace operations, sales support, executive operations or a similarly broad role.
- Experience working in a startup, scale-up or other fast-moving environment where responsibilities crossed traditional functional boundaries.
- Hands-on experience coordinating employee onboarding, office or workplace operations, vendors and business systems.
- Experience managing several workstreams, deadlines and stakeholders at the same time.
- Strong working knowledge of common business tools, spreadsheets and collaboration platforms.
- Based in or able to work regularly from New York City, with flexibility to support occasional events outside standard office hours.
- Authorized to work in the United States with no sponsorship required.
Nice to have
- Experience in B2B SaaS, AI, enterprise technology or professional services.
- Experience supporting enterprise customer procurement, vendor due diligence or security questionnaires.
- Experience working with an outsourced IT provider and coordinating device or access management.
- Experience planning customer-facing events in New York or elsewhere in the US.
- Familiarity with HubSpot, Notion and Microsoft 365.
- Experience supporting a US team within an international company.
How we work
PAIR is a small, high-trust team. We move quickly, decisions are made in the open, and ownership matters more than title. This role sits at the centre of our US operation and will have direct exposure to how a new market is built from the ground up.
The scope will evolve as the US team grows. Success means creating enough structure for the team to scale while keeping our way of working fast and pragmatic.
