Your mission

The Executive Assistant serves as the strategic partner and operational nexus for the AVP Sales, Greater China Region. This is in a high visibility role and involved in working cross-regionally and cross-functionally in the company. You are dedicated and provides a wide array of administrative, logistical, and project-related support to the executive. You will be a key player in our dynamic, highly efficient, result driven and fast-paced environment.

What you'll do at UiPath

Proactive Strategic and Business Support:
1. Act as an extension of the executive to anticipate the needs, with strong business acumen, proactively assemble the appropriate people and resources to solve problems before they arise, enable seamless execution across the region.

2. Proactively research, collect and analyze information, track materials, synthesize preliminary reports to support decision making.

3. Prepare and polish Power point presentations, prepare internal/external meetings and business reviews, execute pre and post meeting coordination.

Administration and Coordination:
1. Manage and optimize the executive’s complex calendar, daily schedule, multi-time zone meetings, domestic and international travels to ensure alignment with strategic priorities. Execute timely communication of updates or changes. Coordinate domestic and international travel and process expense reports. Ensure maximized output of the Executive’s time.

2. Plan, coordinate and manage internal and external meetings, customer events, conferences, manage the logistics to ensure maximum output of the executive time to achieve business goals.

Relationship Management & and Representation:
1. Manage contacts for Executive(s), proactively understand who they are, which have priority and keep track of communication needed for priority contacts.

2. Proactively build and maintain professional, highly efficient and productive relationship with the Executive EAs of key customers, partners, and external state holders in the region. Develop and maintain the network to support the AVP’s business engagement with customers, partners and external key stakeholders.

2. Attend to external clients, vendors, potential business partners’ incoming requests; exercise strong judgment and discretion with highly confidential information. Coordinate logistics for visitors.

3. Support Executive’s timely and professional correspondence with internal and external stakeholders. Represent the AVP professionally in communications when delegated, upholding the company’s and the teams’ excellent image.

Team Facilitation

  1. Work cross-functionally and cross-regionally to ensure communication is smooth, clear and efficient among teams. Foster highly-productive collaboration across different cultures and regions with sensitivity.

  1. Lead, coordinate and execute on various team projects, programs, events, socials, offsite meetings, etc. Track action items and drive strategic initiatives to completion.

What you'll bring to the team

● 5 + years of relevant work experience, supporting Snr. Executives and Business Leaders in complex & matrixed multinational organization.

● Proven ability to interact in a professional manner with Customers, Prospects, Executives, Board Members, and Internal Teams.

● Extensive experience with arrangement of complex calendars, schedules and logistics across multiple time zones.

● Ability to work on multiple projects, lead priorities and accurately set expectations.

● Bachelor Degree and above. Excellent written, verbal, and interpersonal communication skills in Mandarin, Cantonese and English. A third language is a plus.

● Extreme attention to detail, strong planning and organizational skills.

● Proficiency with web-based scheduling and collaboration tools, AI tools and Software suites.

● Experience working in fast pace, high-demanding Multi-national Software Vendors is a plus.

● Unquestionable Integrity and Discretion to handle highly sensitive information with utmost confidentiality, earning absolute trust. Cultural Intelligence and EQ to navigate effectively across different organizations, regions and teams internally and externally. Maintains professionalism, agility and calm in a fast paces and high demanding environment.

● Please note that this is a 1 year fixed term rolling contract.
