Job Description

We’re seeking a proactive and organised Personal Assistant to support the wider Servicing Operations Leadership Team. This role presents a unique opportunity to contribute to Wise’s mission and provide assistance to our Heads of Departments, who lead over 3000 Wisers globally.

The Personal Assistant will report to the Global Head of Customer Support, Global Director of Compliance Operations, and the Head of Service Experience, providing primary support to these members of our Leadership and Senior Team Leads as required. In this role, you will provide essential administrative, planning, and team coordination support, ensuring smooth operations and facilitating effective communication. Your responsibilities will include managing schedules, coordinating meetings, taking detailed notes, and organising team events. The ability to forge strong connections and cultivate relationships will be crucial for success in this position.

You should be comfortable working in an evolving and rapidly changing environment, and will be collaborating closely with the Executive Assistant to the Head of Global Operations, to streamline and enhance processes within the Servicing function.

Please note this role will be based in our office in Budapest/Tallinn. It is important to us that this role is present in the office working closely with our leaders and other stakeholders within the business.

Your mission

  • Provide business and administrative support to members of the Servicing Leadership Team including but not limited to, managing diaries, expense reports, travel arrangements, managing personal time, and tracking action lists on a daily and weekly basis.
  • Attend meetings where necessary to take meeting minutes and ensure follow-up on action items.
  • Assist in the preparation of presentations, reports, and documents as required.
  • Act as a liaison between the leads and their teams, facilitating communication and collaboration.
  • Support the implementation of service improvement initiatives and projects.
  • Provide general administrative support to the wider teams within Servicing.
  • Organise and maintain files and records, ensuring efficient document management.
  • Serve as a key point of contact for internal and external stakeholders, providing excellent communication and customer service.
  • Support the team in event planning and coordination, including logistics and attendee management.
  • Collaborate effectively with team members to achieve shared goals and objectives.

Qualifications

  • You have experience in a role as a Personal Assistant/Executive Assistant in a technology, or high growth company, ideally supporting a global team with multiple demands.
  • Experience or exposure to working within an operations team is preferable but not required.
  • You act with total discretion and can be trusted with confidential and/or sensitive matters.
  • You’re excellent at building relationships and leveraging these for better outcomes.
  • You’re a self starter and love to work autonomously. You’re able to identify gaps and streamline processes with minimal guidance from others.
  • You use your initiative and sound judgement to make decisions in a rapidly changing environment with competing priorities.
  • You’re able to juggle multiple responsibilities with unwavering attention to detail at all times.
  • You’re a creative problem solver. We’re not a ‘one size fits all’ kind of company and we’re not looking for off the shelf solutions. You think on your feet and find solutions to problems that are anything but clear-cut.
  • You have excellent communication skills. You match your communication style to the specifics of the situation, and audience.
  • You’re proficient in using Google Suite and other collaboration tools, such as Slack. You’re able to conduct basic data analysis using Google spreadsheets.

Further details:

This role will be based in either Budapest or Tallinn.

Working from home may be possible on occasion, but not regularly as it's important for you to be present in the office.

This is a 40h a week role, however it may be that some days you’ll need to work more and less during others.
