About the Role
We’re excited to invite a motivated and detail-oriented Payroll Implementation Specialist to join our global Payroll Team on a full-time contract basis in Austin. This role is ideal for someone looking to grow their career in payroll implementation and gain hands-on experience in a dynamic, fast-paced environment. You will be supporting our team's efforts to transition to new payroll systems and processes across the Americas region.
Your Mission
This role will support the overall global payroll process, including compliance, internal audit, and reconciliation across multiple countries for Wise. You'll be key in assisting with the implementation of a new payroll platform that facilitates our Americas payrolls. Your focus will be on ensuring accuracy, reducing errors, and enhancing efficiency in payroll processing.
Collaboration and cross-training will be central to your success.
Key Responsibilities:
- Implementation Support:
- Assist senior team members in the implementation of payroll systems, contributing to specific project milestones and ensuring timelines are met.
- Collaborate with internal stakeholders to support the gathering of requirements and help define project scope.
- Maintain and update project documentation under the guidance of senior colleagues.
- System Configuration Assistance:
- Work closely with senior team members to help configure payroll systems in accordance with company policies and compliance requirements.
- Participate in system testing, identify issues, and support the resolution process as part of a team.
- Assist in customising payroll reports and interfaces as needed.
- Data Migration Support:
- Support the migration of payroll data from legacy systems to new platforms, ensuring data accuracy under supervision.
- Participate in data validation and reconciliation processes, ensuring data integrity post-migration.
- Training and Support Contribution:
- Assist in developing user manuals and training materials for HR and payroll staff on new systems and processes.
- Provide first-level support and troubleshooting during and after implementation, escalating issues as needed.
- Compliance and Audit Participation:
- Contribute to ensuring payroll processes comply with federal, state, and local regulations by preparing necessary documentation and reports.
- Assist in the preparation for internal and external audits related to payroll implementation.
- Continuous Improvement Involvement:
- Participate in discussions on process improvements and system enhancements, offering insights and support to team initiatives.
- Stay updated with industry trends and best practices in payroll systems to support team goals.
Your Challenges
- Support the evolution of our payroll model by bringing your attention to detail and eagerness to learn.
- Help identify opportunities to create efficiencies in our current payroll processes and support the development of new methods.
A Bit About You
- Experience: 1-2 years of experience in payroll processing, ideally within a high-growth product or service-led company.
- Payroll Systems Familiarity: Basic proficiency with payroll software and systems such as Workday, ADP, SAP, or similar platforms.
- Tech Skills: Comfortable using Google Docs, Sheets, and Microsoft Excel, particularly with pivot tables and charts.
- Collaboration: Passionate about building strong relationships based on trust and mutual respect.
- Detail-Oriented: An eye for detail with an appreciation of data and analytics to support your decisions.
- Adaptable: Able to work effectively in environments with shifting priorities and varying levels of ambiguity.
- Eager to Learn: A positive, can-do attitude with a willingness to learn new things and grow within the role.
- Multi-Tasking: Ability to handle multiple tasks simultaneously, with a knack for managing recurring tasks efficiently.
- Teamwork Focused: Thrive in a teamwork-oriented setting, collaborating with peers and cross-checking assigned payrolls.
