Job Description

Community management

  • Deliver an awesome workplace experience by providing outstanding hospitality and customer service to our employee communities (physical and virtual).
  • Own the workplace operations communication strategy and the channels used to share local information, building updates and upcoming events with our employee communities.
  • Produce playbooks and guidelines for our employee communities to support with new ways of working and change management.
  • Working closely with the Events team to support organising our annual company event Mission Days.

Facilities Management

  • Accountable for the delivery of robust facilities management processes and ensuring Wise’s properties are well maintained with minimum or zero down time.
  • Develop and schedule a proactive building infrastructure and equipment maintenance program, anticipating long and short term improvements to ensure we have fully operational and compliant spaces.
  • Ensure workplace helpdesk requests submitted by employees are resolved in a timely manner and service levels are met.
  • Coordinate the periodic review and revision of documents, lease information, asset registers and floor plans to ensure they are up to date.
  • Manage budgets for the office, including the reporting of forecasted expenditure, expense/invoice approvals, budget variance, accruals and reconciliations as necessary.
  • Oversee workplace vendors and landlords, including negotiating commercial terms (vendors only), performance reviews, contract and relationship management.
  • Explore opportunities for cost optimisation and global vendor rationalisation to get us closer to achieving Mission Zero.
  • Identify key risks; create and oversee the execution of action plans to correct issues and mitigate risks.
  • Develop standard operating procedures aimed at achieving operational excellence.
  • Establish, monitor, analyse and report internal metrics, OKRs and KPIs, with a view of evaluating trends, apply corrective actions and establish alignment with strategic or tactical Workplace initiatives.

Health and safety

  • Work closely with the Workplace H&S Specialist in APAC to support the execution of programs relating to all Environmental Health & Safety (EHS) initiatives to ensure compliance with local laws and codes, including but not limited to:
  • Display screen equipment assessments (DSE)
  • Risk assessments
  • Water testing
  • Fire safety and first aid
  • Appliance testing
  • Accident reporting and security alerts
  • Contractor risk assessments and method statements (RAMS)
  • Updating and reviewing policies and procedures

Team Management

  • Ability to plan and set up office spaces with a focus on scalability, ensuring the environment supports future team growth, evolving organizational structures, and aligns with long-term business objectives.
  • Ensure the Workplace Operations Team remains optimally sized and skilled to support Wise.
  • Hire and onboard members of the Workplace Operation Team, ensuring they have the tools and training necessary to succeed in their roles.
  • Act as a role model and promote industry best practices to your team around workplace experience, hospitality, operations and events.

Other

  • Partner with internal teams such as IT, AV, Physical Security, People Partners and People Operations to drive collaboration, problem solving and communications.
  • Collaborate cross-functionally with Workplace Projects and Safety sub-teams to provide support and input on projects and initiatives.
  • Promote workplace sustainability, provide energy consumption reporting and help us to achieve our goal of net zero carbon by 2030.
  • Input into half-yearly planning and OKRs for the Global Workplace Team.
  • Network with other workplace professionals to identify new industry best practices and assess their suitability for Wise and our culture


Qualifications

Must haves

  • Significant experience in leading workplace services or operations ideally within fast-growing tech organisations.
  • Fluent in English & local language, both verbal and written.
  • Capable of leading, coaching and being a great role model to a global team.
  • Experience supporting teams, employees and operations
  • Demonstrable financial and data literacy experience including budget management
  • Excellent interpersonal and networking skills.
  • Strong verbal and written communication skills.
  • Great organization, multitasking and problem-solving skills.
